Same invitation for every eligible patientNo review gating

Healthcare reputation management helps an Australian clinic monitor public reviews, request feedback consistently, apply an approved reply policy, escalate concerns and use recurring themes for service improvement. It is not a system for filtering unhappy patients or manufacturing five-star ratings. LUNA Systems can configure neutral review invitations for every eligible patient in an agreed cohort, a separate private feedback pathway, Google Business Profile monitoring, a no-reply policy or carefully scoped brand-voice responses, complaint handover rules, a feedback register and trend reporting. Sensitive reviews are held for clinic review rather than answered automatically, and any public response does not confirm a patient relationship. Clinical praise is not copied into clinic-controlled advertising. General practices can use the feedback pathway as part of their RACGP quality-improvement work, while dental, allied health, specialist and cosmetic clinics can adapt the same governance principles.

The signature workflow

One neutral invitation. No five-star trapdoor.

Every eligible patient sees the same doorway. They can leave an independent public review, share private experience feedback, or do neither. One path never unlocks the other.

Consistent invitationOne doorway. The patient chooses the path.
The same neutral message goes to every eligible patient. No rating question decides which link appears.

Public pathwayLeave an independent review

The public-review option is available to the whole agreed cohort.

Private pathwayShare experience feedback

A direct route for access, reception and process concerns.

Clinic-owned
The rule: choosing private feedback never hides or unlocks the public-review option.

The working system

Six jobs. One accountable feedback loop.

The service is designed around what the clinic needs to see, approve and improve—not around chasing a public score.

01
Monitor

See every signal

Monitor Google Business Profiles and agreed platforms, flag new reviews and keep clinic details, hours and approved public information accurate.

One view across locations and channels

02
Request

Invite consistently

Send the same neutral invitation to every eligible patient in the agreed cohort. The public-review request never changes according to a rating or private response.

A fair invitation without review gating

03
Govern

Choose the reply policy

Choose no public replies, or clinic-approved automated replies in your brand voice for suitable non-clinical reviews. Sensitive reviews are held for the clinic rather than answered automatically.

A clinic-approved policy, not a default reply

04
Handover

Escalate the concern

Define who receives a concern, what needs urgent attention, when the clinic takes over and how actions are recorded. Clinical complaints never sit in a marketing inbox.

A named owner and a private next step

05
Learn

Find the pattern

Group recurring themes across access, reception, communication and clinic processes so isolated comments become useful operational evidence.

Clear trends instead of anecdotes

06
Improve

Document what changed

Assign an action, record the response and revisit the theme. The result is a patient-feedback loop the clinic can use for team discussion and service planning.

Clinic-controlled review replies

Your clinic chooses whether public replies happen at all.

AHPRA warns that engaging with third-party reviews may be considered using a testimonial in advertising. The most conservative option is no public replies. If your clinic elects to reply, LUNA can set up automated responses in your approved brand voice for agreed non-clinical review types, while sensitive or clinical reviews are held for your team.

01

No-reply mode

Monitor every review, alert the right person and publish nothing publicly.

02

Automated brand-voice replies

Use clinic-approved language and automation only within agreed non-clinical boundaries.

03

Sensitive-review hold

Clinical or complex reviews are never answered automatically; they move to the nominated clinic lead.

Beyond review generation

A pattern is more useful than a pile of comments.

Public reviews and private feedback can reveal recurring access, reception and communication friction. The clinic decides the response; the system keeps the action visible.

Non-negotiable safeguards

Protect the patient relationship before protecting the rating.

01

No review gating

We do not send unhappy patients to a private form while directing only happy patients to Google.

02

No patient confirmation

A public reply does not confirm that the reviewer attended, received care or has a clinical relationship with the practice.

03

No clinical debate in public

Diagnosis, treatment, appointment details and the substance of a complaint move to the clinic's approved private process.

04

No testimonial recycling

Clinical praise in a review is not copied into clinic-controlled advertising, social posts or website proof.

Clinic fit

The same governance, shaped around each practice.

The invitation, escalation owners and reporting detail change with the setting. The patient-safety boundaries do not.

01

General practice

Patient feedback can support the RACGP quality-improvement cycle, with the clinic deciding whether collection is periodic or ongoing.

02

Dental practices

Consistent review requests, location monitoring and a clear handover for treatment, fee or experience concerns.

03

Allied health

A proportionate system for physiotherapy, psychology, occupational therapy, speech pathology and multidisciplinary clinics.

04

Specialist clinics

A conservative reply policy, referral-pathway awareness and escalation for complex or sensitive patient concerns.

05

Cosmetic clinics

Additional caution where public comments may discuss outcomes, medicines or clinical experiences that should not be amplified.

06

Multi-location groups

Location-level monitoring with central standards, nominated owners and reporting that reveals patterns across clinics.

From audit to improvement

The workflow is approved before patients enter it.

The clinic chooses the cohort, channels, owners, response boundaries and reporting rhythm. LUNA configures the operational system around those decisions.

  1. 01

    Audit the current experience

Profiles, feedback channels, software, privacy boundaries, complaint ownership and existing public responses.

  2. 02

    Design the safe pathway

Eligible cohorts, invitation timing, patient choices, escalation thresholds and approval rules.

  3. 03

    Configure and test

Templates, forms, permissions, monitoring and handovers are tested before the first invitation is sent.

  4. 04

    Review themes and actions

Reporting shows what appeared, who owns the response and which improvement is due for review.

Australian guidance boundaries

LUNA builds the system. The clinic owns the clinical decision.

LUNA configures

Invitations, feedback capture, monitoring, reply-policy controls, escalation rules, trend categories and reporting.

The clinic decides

Clinical responses, complaint findings, privacy decisions, insurer notifications, records and final approval.

FAQ

Healthcare reviews and patient feedback questions

What is healthcare reputation management?

Healthcare reputation management is the system a clinic uses to monitor public reviews and profile information, invite feedback consistently, apply an approved public-reply policy, escalate concerns and learn from recurring patient-experience themes. It is broader than trying to increase a star rating.

Can Australian medical practices ask patients for Google reviews?

A clinic can use a neutral, consistent invitation, but it should not discourage negative reviews or ask only patients who gave a high private score. LUNA separates the public-review invitation from the private feedback and complaint pathway so one does not depend on the other.

What is review gating?

Review gating is filtering patients by sentiment, then encouraging only positive respondents to post publicly while diverting negative respondents elsewhere. LUNA does not build this workflow. Every eligible patient in the agreed cohort receives the same neutral invitation.

Can an Australian clinic reply to Google reviews?

AHPRA warns that engaging with a review on a third-party site may be considered using a testimonial to advertise a regulated health service. A clinic can therefore choose the most conservative option and publish no replies. If the clinic elects to reply, LUNA can configure carefully scoped, automated responses in its own approved brand voice for suitable non-clinical reviews. The workflow does not confirm a patient relationship, discuss care or automatically answer sensitive reviews. Clinical matters are held for private escalation and may require legal, insurer or regulatory advice.

Can patient reviews be used as testimonials in healthcare advertising?

Clinical praise should not be republished in clinic-controlled advertising. A public review can remain on the independent platform, but copying it onto a clinic website, advertisement or social post may turn it into a testimonial about a regulated health service. LUNA leaves clinical review content out of promotional assets.

Is patient feedback required for general practice accreditation?

RACGP Standards Criterion QI1.2 requires accredited general practices to collect and respond to patient feedback. The RACGP guide says this can occur once during the three-year accreditation cycle or on an ongoing basis. The clinic should confirm the method and evidence required with its accreditation provider.

Is ongoing patient-feedback collection required by professional indemnity insurance?

Not as a universal rule. Insurer guidance commonly treats complaints registers, documented responses and timely notification of matters that could lead to a claim or complaint as risk-management tools. The exact notification duties depend on the clinic's policy and circumstances.

What does a patient feedback system include?

The scope can include consistent invitations, a private feedback form, a complaints register, escalation owners, response templates, review monitoring, trend categories and a documented improvement log. It should collect only the information needed for the purpose and keep sensitive clinical detail out of marketing systems.

Does reputation management improve medical SEO?

Accurate profiles, genuine reviews and active profile management can support patient trust and local visibility, but this service does not promise rankings or map positions. Technical SEO, content and authority work are scoped through LUNA's medical SEO service.

How much does healthcare reputation management cost?

The scope depends on the number of locations and profiles, review volume, invitation method, practice software, approval steps, escalation requirements and reporting. LUNA reviews those factors, then provides a written custom scope and quote rather than publishing a generic package price.

Which clinic systems can you connect?

That depends on the invitation trigger and what the clinic's practice software safely supports. LUNA can assess systems such as Cliniko, Halaxy, Power Diary, Nookal and PracSuite, but confirms the available integration and data handling before promising automation or write-back.
