AI Receptionist · Medical Imaging
An imaging line runs on volume: referrals to book, prep questions, anxious patients chasing a report, and the occasional caller who should be ringing 000 instead. LUNA's AI receptionist answers for your practice, after hours, on overflow when your team is busy, or around the clock: fast on the booking, careful on the clinical line, and built on the actual obligations of Australian diagnostic imaging.
Why after-hours matters here
A GP has just handed a patient a referral, and they want it booked while it is fresh. If your line rings out after hours, they ring the next imaging practice on the list. The agent picks up, explains the pathway, and captures the enquiry or books it straight in.
The agent answers questions about your modalities, your locations and how referral and booking work from an approved knowledge base, then captures name, number, the referral and the scan requested, or books directly into your practice software where enabled.
It never reads a result, never improvises prep, and never gives a contrast or radiation opinion. A caller with crushing chest pain asking for a scan is sent to emergency care, not offered the next available slot. The guardrails run first, before anything else.
The imaging line, drawn cleanly
An imaging receptionist does not need to be a clinician, but she does need to know exactly where her lane ends. On a recorded line with nobody supervising, that boundary is the whole product. Here is where she holds it, and what she captures instead of guessing.
Most imaging needs a referral from a GP or specialist, and it is usually what enables the Medicare rebate. If a caller has no referral, the agent explains the pathway plainly and captures their details. It never books around the referral, and it never advises that a caller needs a particular scan.
Fasting, water loading, holding a medication: preparation depends on the exact scan, so the agent reads it only from your configuration for that booking. If the note is there, she gives it word for word. If it is not, she says the team will confirm the correct prep and captures the question. She never guesses.
The report goes to the referring doctor, who discusses it with the patient. The agent never reads, confirms or hints at a result, for anyone, and never says a scan "looks fine". A past contrast reaction or possible pregnancy is captured and flagged prominently for the radiographer and radiologist, with no safety opinion offered either way.
Hear it yourself
Lumen Medical Imaging is our fictional Sydney practice, invented so you can test the agent without any real patients or radiologists involved. Ask it anything a caller would ask you: ask it to read your CT result over the phone, tell you whether contrast is safe after a past reaction, or book you an MRI with no referral. The interesting part is what it refuses to do.
A fictional practice, for demonstration only. No real patient or radiologist is involved.
She answers as the receptionist for Lumen Medical Imaging. Push her on results, prep, contrast and referrals, and watch where she draws the line.
Capped at three minutes. Calls may be reviewed to improve the agent. Demonstration only.

How she's trained
Natural Australian conversation, a calm register for a patient anxious about a scan or a result, proper message-taking, booking discipline, and the golden rule underneath it all: if it isn't configured or approved, she says so and captures the question rather than improvising.
AHPRA and National Board advertising guidelines, the Privacy Act and state health-records law, TGA advertising rules, Medicare and fees accuracy, emergency escalation, honest AI disclosure, and recording-consent statutes in all 8 states.
The RANZCR standards of practice for clinical radiology, the iodinated contrast media guidance, the diagnostic radiology and pregnancy position statement, and privacy law on imaging results and reports, distilled into referral-pathway discipline, prep read only from config, results kept with the radiologist, contrast-allergy and pregnancy capture, and the radiographer-versus-radiologist title line, all with their sources attached.
Your radiologists and radiographers and their exact titles, your modalities and locations, referral and rebate stance, billing policy, and your own materials: prep instructions per scan, patient information sheets, contrast protocols, plus a specialised go-live questionnaire about how your practice actually runs.
Every month, every call is audited: drop-off points, unanswered question types, improvement candidates. Changes are approved with you and versioned into the agent, and regulation-change monitoring updates the rules when guidance moves. Better every month, never changed without sign-off, and never self-retraining on its own.
The guardrails are the product
Every generic voice bot can answer a phone. The question your board, your indemnifier and AHPRA would ask is what it says on a recorded line at 9pm with nobody supervising. Tap a question to see how Luna handles it.
Traceable, versioned, maintained
The agent's behaviour is built from layered, versioned rule sets distilled from the primary sources: the RANZCR standards of practice for clinical radiology, its iodinated contrast media and pregnancy guidance, AHPRA advertising guidelines, and the Australian Privacy Principles. When a regulator updates guidance, we know which rules are affected and which agents need updating.

From go-ahead to go-live
Your radiologists and radiographers and their correct titles, modalities and locations, referral and rebate stance, billing policy, escalation contacts, plus your own materials: prep instructions per scan, patient information sheets, contrast protocols. A specialised go-live questionnaire makes sure every answer the agent gives is yours, not a generic one.
Your agent is built from the approved compliance layers plus your configuration, then attacked with an imaging-specific test script: results discipline, prep-from-config, contrast and pregnancy capture and title accuracy included. It must pass every probe before it ever answers a real call.
Your number routes to the agent, changeable in seconds, never a dead line. Monthly call reviews and regulation-change monitoring included.
Cliniko, Best Practice, Medical Director, Genie, Gentu, Halaxy, Coreplus, your dental suite, whatever runs your day: we design the agent around your systems, never the other way round. You don't change how your practice works to suit us.
Where your practice software has API access, Luna books and writes back in real time. Cliniko is live today, with more connectors on the roadmap.
No API? We wire structured, qualified messages into your existing inbox, CRM or task list, formatted exactly the way your team already works.
Locked-down legacy system? We stand up a clean parallel capture and booking layer for you, and your team reconciles it in minutes, not hours.
Fair questions
Always. Every call opens by saying it's an AI assistant and that the call is recorded, and it confirms it plainly if asked. That disclosure is fixed at the compliance layer; no clinic setup can remove it, which also satisfies the strictest Australian recording-consent standard.
Never. The report goes to the referring doctor, who discusses it with the patient, and the agent will not read, confirm or hint at a result for anyone, verified or not. It will not even say a scan "looks fine". It captures a message that the patient is chasing the report and directs them back to their doctor.
They contain health information, so they're treated that way: moved to Australian-hosted storage promptly after each call, deleted from the voice platform, delivered only to the contacts you nominate, and retained for a period you set. The full detail is on our data handling and security page, and you get it in writing as a one-page summary.
Prep is read only from your configuration for that booking, word for word, and never improvised; if the note isn't there, the agent says the team will confirm it and captures the question. A past contrast reaction or a possible pregnancy is captured and flagged prominently for the radiographer and radiologist, with no safety opinion offered either way. It never advises holding a medication.
Where your practice software supports it (Cliniko first, more connectors coming), yes: real bookings into your calendar, with the referral and scan captured. Most imaging needs a referral, so the agent confirms that pathway first. Otherwise it captures qualified, structured enquiries for your team to action first thing.
